A form is a document with spaces in which to type or select, for a series of documents with similar content. Documents usually have the printed parts in common, except possibly a serial number.
The forms, when completed, can be a declaration, an application, an order, etc .; a check can be a form. There are also forms for taxes; filling one is a must to have determined the amount of tax owed, and/or the form is a refund request. See also Tax return.
Forms can be completed in duplicate (or triplicate, that is, three times) when the information collected on the form needs to be distributed to multiple departments within an organization. This can be done with carbon paper.
The advantages of the forms include the following:
- One has to write less (while printing is almost universally done somehow automatic)
- One is told or reminded what information to provide
- There is uniformity, for convenience in processing.
- Information is collected in writing and can therefore be re-examined later
- Simpler tasks, such as collecting or distributing data, can be separated in the workflow from more specialized processes, such as decision-making.
- Form issuance and processing may be done by less trained personnel or a computer.
- The disqualification task becomes issuing or completing the appropriate form for the circumstances and then moving it to the next step in the workflow.
- This could reduce costs and increase the volume of work that can be handled.
- A form on a computer allows you to conveniently type the variable parts.
